Privacy policy.

1. Information we collect

We collect the following categories of data:

• Account information — name, email, clinic name, role.
• Customer Content — audio recordings, transcripts, SOAP notes, patient records you create.
• Usage data — pages visited, features used, performance metrics. No third-party advertising trackers.
• Payment information — billing address and limited card details, processed by Stripe. We never see full card numbers.

2. How we use information

We use your data to: (a) provide and improve the Service; (b) generate SOAP notes and related documents you request; (c) process payments; (d) send service-related communications; (e) respond to support requests; (f) comply with legal obligations.

We do not use Customer Content to train AI models.

3. Information sharing

We share data only with the following categories of third parties, all under contract requiring data protection:

• Anthropic — to generate SOAP notes (zero-retention).
• Deepgram — to transcribe audio (zero-retention).
• Clerk — to handle authentication (SOC 2 Type II).
• Cloudflare — to host the Service and store data.
• Stripe — to process payments.

We do not sell your data to anyone, for any purpose, ever.

4. Data storage and security

Audio, transcripts, and notes are stored on Cloudflare R2 and D1, encrypted at rest with AES-256 and in transit with TLS 1.3. Data is region-pinned (US, EU, or Asia-Pacific based on your selection). See Security for full technical details.

5. Data retention

We retain Customer Content for as long as your account is active. Upon account termination, Customer Content is deleted or anonymized within 30 days, except where retention is required by law. You can request earlier deletion at any time by emailing legal@coggo.ai.

6. Your rights

Depending on your region, you may have the right to:

• Access the data we hold about you.
• Correct inaccurate data.
• Delete your data (subject to legal obligations).
• Export your data in a portable format.
• Object to certain processing.
• Withdraw consent where processing is based on consent.

7. Cookies and tracking

We use a minimal set of cookies: authentication, session, and basic analytics. We do not use third-party advertising trackers. We use Cloudflare Web Analytics, which is privacy-friendly and does not require consent banners.

8. Third-party services

The Service relies on the third parties listed in section 3. Each operates under their own privacy policy. We have data processing agreements in place where required.

9. Children's privacy

The Service is intended for veterinary professionals. We do not knowingly collect data from individuals under 18. If you believe we have collected data from a minor, contact us and we will delete it.

10. International data transfers

Data is processed in the region you select. For EU customers, we use standard contractual clauses to govern any cross-border transfers required for processing.

11. Changes to this policy

We may update this policy from time to time. Material changes will be communicated by email or in-product notice at least 30 days before they take effect.
